Meeting Minutes

August 26, 2004

 

The Meeting was called to order at 11:00 AM.

 

Introduction of Meeting Participants :

Ten meeting participants introduced themselves to the group and explained their interest in the project.

 

Last Meeting at GSCCCA :

There was a discussion which recapped the last meeting at GSCCCA. Two examples of Memorandum of Understanding/Agreement were distributed to everyone at the meeting. It was agreed that all the participants would read over the documents and send their requested modifications to Marla Kosier no later than Friday, September 3, 2004 . She will forward the requested document changes to Jim Martin, Standards Council's Chief Legal Officer. Jim Martin has agreed to prepare the MOU in time for the next meeting.

 

New Business:

The funding/grant for the project was discussed. Rick Malone agreed to talk with Joe Hood of CJCC to confirm the documentation required for the grant.

 

The Governance Structure for the project was discussed. It was agreed to call the group the “Crisp County Data Exchange Project.” Three roles were identified and accepted by the following members:

Project Coordinator – Nolan Martin

Treasurer – Rick Malone

Secretary – Marla Kosier

A contact information sheet will be distributed with the minutes to all of the members.

 

Rick Malone, Lee Hampton and Marla Kosier will meet on Friday, September 3, 2004 to discuss an initial budget to be presented at the next meeting.

 

The group discussed the need to have the Police Chief of Crisp County or his representative involved in the project. Jean Rogers agreed to contact the Police Chief and ask if he will send a representative to the next meeting.

 

All of the participants were asked to identify their case management vendor and determine if their current program is XML compliant. All agreed that they would investigate and find out what it would take to upgrade their systems so they will be XML compliant. Jean Rogers and Judge Pete Pfeiffer will follow up with IKon about the Magistrate Court converting to the IKon case management program. They will find out the particulars that will be required for the conversion.

 

Lee Hampton and Marla Kosier will follow up with XAware to coordinate a demonstration at a future meeting to facilitate the group's understanding of current data sharing technology.

 

Jiem Training Class Information :

 

A number of the members have already attended a Jiem training class. Lee Hampton will send detailed information regarding the next training session September 20th and 21 st offered in Athens , GA. Marla Kosier will request that Search setup Nolan Martin and Jean Rogers as administrative users for the Jiem Cordele Circuit database.

 

 

The meeting was adjourned At 2pm .
